Data we process

Account and profile data – Email, name, organisation details, and preferences you provide for authentication and account management.
Agent configuration and run data – Definitions of agents, task flows, integration settings, and the outputs of agent runs (findings, logs, approvals). This data is necessary to operate the service and is scoped to your organisation.
Product data – Invoices, expenses, candidate profiles, and similar records created inside Contractor Hub, Talent, or Smart Portals, scoped to the owning account or organisation.
Usage and operational data – Metrics and logs used for reliability, security, and improving the service (e.g. request volume, errors). We minimise personally identifiable information in these where possible.

Purposes and legal basis

We process data to provide the platform, run agents, enforce security and access control, and meet legal obligations.
Where applicable (e.g. GDPR), we rely on contract performance, legitimate interest, or consent as appropriate and as described in our Privacy Policy.

Your rights

You have rights to access, correct, delete, or port your data, and to object to or restrict certain processing, as set out in our Privacy Policy. To exercise them, contact privacy@hakunai.com or use the contact details on the main site.

Data location and subprocessors

Data is processed in the regions and infrastructure described in your agreement and our data processing documentation.
Subprocessors that may process personal data are listed in our data processing addendum or equivalent; we ensure appropriate safeguards (e.g. contracts, standard clauses) where required.

Retention

We retain data for as long as needed to provide the service, enforce our terms, and comply with law. Retention for run logs and artifacts can be configured at the organisation level within your plan.
When you delete data or close an account, we purge it in line with our retention and deletion procedures.

Enterprise

Enterprise agreements can include data processing terms, subprocessor lists, and data residency options. Contact sales or your account team for details.
